Personal Assistant

The role of a Personal Assistant, as can best be exhibited in terms of passion, attention to details, commitment to quality outcome and overall professionalism, is multi-faceted and may vary as situation requires. We are looking for a diligent and dedicated individual to provide full executive support to our senior executive member, including but not limited to the following:

  • diary management,
  • meeting preparation (including board meetings) e.g. scheduling, liaison, facilities coordination, meeting / greeting executive meeting participants, meeting agenda / minutes, pre- and post-meeting follow-up, etc.,
  • arrangements for travel / event attendance,
  • assisting in preparation of management reports,
  • internal and external communication with key stakeholders,
  • handling sensitive information with discretion and confidentiality,
  • filtering and handling incoming enquiries / invitations / general information by redirecting or taking forward such contact when appropriate,
  • documentation and record update,
  • administrative / clerical / logistic support in corporate projects, events, activities and other appointments,
  • ad-hoc executive support to the Executive team as required,
  • among others.

 

Entry Requirements

  • Min. 5 solid years of relevant experience serving senior executives, preferably in healthcare industry
  • Formal secretarial training an advantage
  • Good command of spoken and written English
  • Proactive with can-do attitude, reliable and discreet
  • Strong organizational skills with solution-oriented mindset and ability to adapt / respond with practical flexibility
  • Staying calm under pressure of multiple projects on hand with tight deadlines and unexpected changes of plans
  • Excellent competency in MS Office applications and English and Chinese word processing
